Club Structure

Set up the competitive backbone of your organisation: programs, seasons and divisions, teams, players, and playoffs — plus the Division Planner to shape a season before you commit, and league registrations once you compete beyond the club.

Programs

The offerings your club runs — House League, Select, Learn to Play. Players enroll in a program, and teams and divisions belong to one. Leagues manage their competitive streams (Select, A, AA, AAA) on the same page.

What you can do
  • Add a program and choose whether it runs its own divisions or is teams-only
  • Rename, archive, and restore programs — archived ones stay on past seasons' records
  • See each program's players, teams, and divisions for the selected competition year

Seasons & Divisions

Set up seasons within a competition year and group teams into divisions by age, skill, or category. Each season also carries its contracted ice times and blackout dates — the Scheduler and Division Planner read them from here instead of asking again.

What you can do
  • Create seasons and control which divisions run in which season
  • Record each season's recurring ice or field times, venue by venue, with a range generator for bulk entry
  • Set blackout dates once on the season — the calendar, planner, and scheduler all respect them
  • Leagues: open or close team registration per season

Division Planner

Try out age-group structures against who's actually enrolled, before you commit. Drag boundaries on the birth-year histogram, watch roster and ice-time advisories update live, then create the real thing.

What you can do
  • Start from a preset — standard or two-year age groups — or a blank scenario
  • Split, merge, and rename groups; set team counts with live advisories on roster size and games per team
  • Compare up to three scenarios side by side
  • Apply a scenario to create real divisions and placeholder teams — and revert cleanly if you change your mind

Where to edit

Teams

Team rosters, staff, and branding, grouped by division with placement status at a glance. Leagues review incoming team registrations right here — approving one adds the team to the list below it.

What you can do
  • Create teams and assign them to divisions
  • See per-division placement status and jump straight to the placement board
  • Follow the teams your club has registered into leagues, grouped by league and season
  • Manage rosters, team staff, logos, and colours

What members see

A team's identity follows it everywhere in the member app: the team space floods with the team's colours, and the crest, short name, and colours mark its cards, chips, and chat. Set them in the team's Edit → Identity dialog — without them, every team renders in the same default look.

Players & Enrollments

Every enrollment for the selected competition year, with program, birthdate, and team placement in sortable columns. A needs-attention banner keeps unplaced players and missing contact info in view.

  • Add new players, enroll existing people, or import a CSV
  • Sort and filter by program, placement status, or missing contact info
  • Bulk-enroll selected players into a program
  • Find and merge duplicate player records

Where to edit

Playoffs

Configure playoff brackets at the end of a season. Single- or double-elimination supported.

What you can do
  • Generate brackets from final standings
  • Track results round-by-round
  • Publish brackets to the club website

On your club site

Once published, the bracket appears on your public club site and updates live as results are entered. Members can share a direct link to a specific round or game.

Leagues & Tournaments

The leagues and tournaments your club belongs to. Accept or decline membership invitations, register teams into open seasons, and follow each registration through the league's review.

Where to edit

Officials

Set up referees and control who is allowed to score your games.

What you can do
  • Add referees and assign them to games
  • Choose whether scorekeepers may score any game, or only games they are assigned to
  • See how many finished games are still waiting on sign-off before you change the rule

When “only assigned scorekeepers” is off (the default)

Any scorekeeper in your club can enter goals, assists and penalties for any of your club's games — no per-game assignment is needed. This suits a small club where one or two people cover every game. Turn it on when scorekeeping duty is shared out by team, and only the person assigned to a game will be able to score it. Club administrators can always score, either way.

Member Clubs

For leagues: the clubs that belong to your organisation. Invite new clubs, track membership status, and suspend or reinstate memberships with a documented reason.

What you can do
  • Invite a club to join your league
  • Filter memberships — pending, active, suspended, or past
  • Suspend with a mandatory reason and reinstate later
  • See each club's registered team count

Roster Approvals

For leagues: review the external player IDs member clubs submit with their team registrations. Verify each one, reject it with a reason the club sees, or grant a documented override.

What you can do
  • Review submitted player IDs grouped by team registration
  • Verify IDs that match your league's expected format
  • Reject with a reason, or grant a manual override when an ID can't be verified
